Topline
Google Calendar is a project and event management and scheduling tool that can be used for personal or professional use; here’s how sharing Google Calendar with others can keep teams on one accord.
Key Facts
Google Calendar allows users to track events, tasks, vacations and more, as well as share information with others.
There are options to share specific events and tasks or share an entire calendar with other users.
The platform allows for customization, such as color coding different tasks, events, meetings and out of office dates.
Google Calendar is available on Mac, PCs and mobile devices.
Sharing full Google Calendars is only allowed through computers, not the mobile app, and can only be shared with gmail account holders.
Sharing Events And Meetings
To share an event on Google Calendar, navigate to the Create tab, select Event, insert information, such as the title of the event, the date, time and duration of the event, a location, Google Meets or other digital sites if it is a virtual event and add guests. Guests will receive an emailed invitation to RSVP for the event or meeting.
Sharing Out Of Office Dates
If a user wants to share out of office dates, navigate to the Create tab, select Out of Office and add the date, time and duration of the absence. Setting up out of office dates through Google Calendar automatically declines meetings if the user opts for that.
Sharing Birthdays
The ability to add birthdays to Google Calendar depends on who is in said user’s Apple contacts or Google contacts. To manually add birthdays to Google Calendar, the user has to add the name, birthday and email address of another gmail user to Google Contacts. By navigating to Google Calendar through Settings, iPhone users can grant Google Calendar access to Apple contacts for those contacts’ birthdays to appear on the calendar. Viewers can opt to view birthdays on their calendars or not by selecting or deselecting the Birthday tab under “My Calendars.”
Sharing Calendar
On a desktop or laptop, navigate to the left side of the interface towards My Calendars, click on the three dots aside the specific calendar you want to share–which will appear once you hover over them–select Settings and sharing, type in the email of the group or person to share the calendar with and send it. The recipient will receive an email and should follow the emailed link to add the shared calendar to their calendar.
